Part Tracker offers an optional AI Assistant feature powered by OpenAI's technology. This feature is entirely optional and is only activated when you choose to use it.

What data is shared with OpenAI?

When you interact with the AI Assistant, only business-related operational data necessary to answer your query is transmitted to OpenAI. This includes:

• Order information (order numbers, amounts, dates, status)
• Inventory levels and stock quantities
• Product information (names, SKUs, descriptions)
• Sales data and analytics information
• Your conversation history within the AI Assistant (limited to the last 10 messages)

What data is NOT shared with OpenAI?

We take your privacy seriously. The following personal and sensitive information is never transmitted to OpenAI or any third party:

• User names, email addresses, or phone numbers
• Customer or supplier contact information
• Payment information or financial credentials
• Authentication tokens or passwords
• Any personally identifiable information (PII)

If you do not use the AI Assistant feature, no data is ever shared with OpenAI. The AI Assistant is completely optional and opt-in by nature.

Data usage and AI training

Your data is NOT used to train AI models.

All data sent to OpenAI through the AI Assistant is used exclusively to generate responses to your queries. OpenAI does not use your data to train or improve their models. We have configured our integration to ensure that your business data remains private and is only used to provide you with answers to your questions.

The data sent to OpenAI is processed in real-time to answer your query and is not retained longer than necessary to deliver the service. Your conversation history within the AI Assistant is stored locally in your browser session only and is cleared when you close the chat or refresh the page.

4. Data Retention

All your data is stored on secure servers located within the European Union.
